City of Tallahassee, Florida Administrative Specialist needed for 6 month assignment with possible extension pending funding and performance. **Excellent time management and organization skills

WORK ENVIRONMENT: In office, professional environment

TRAVEL: Driving may occasionally be require which will require a valid driver’s license. (e.g. picking up supplies, travel to set up meeting rooms, paying bills, etc.)

CANDIDATE RESPONSIBILITIES:
** Excellent Time Management and Organizational Skills required
** Performs purchasing, fiscal, and other standard administrative office functions.
** Maintains statistical reports that measure department or division operational efficiency.
** Assists in preparing and/or maintaining division or department budgets.
** Assists in planning, researching, developing, and maintaining research activities.
** Provides first-line support to the Division’s contract managers.
** Performs special projects as assigned.
** Performs related work as required.

Educational Requirements:

** Bachelor’s degree in business or public administration or a degree accepted in the field in which the vacancy exists;
** or possession of a high school diploma or an equivalent recognized certificate and two years of staff or administrative experience; or an equivalent combination of training and experience.

Required Skills and Certifications:

** Considerable knowledge of rules, regulations, policies, ordinances, and procedures involved in the administration of assigned functions.
** Considerable knowledge of the principles of office management and clerical, statistical, and fiscal processing.
** Considerable knowledge of bookkeeping, purchasing, budget, and statistical analysis and reporting.
** Knowledge of research techniques and the sources and availability of current information.
** Knowledge of protocol regarding print and electronic media.
** Ability to develop and assist in the installation of management systems, forms, and procedures.
** Ability to plan and organize work related to various clerical and technical administrative functions.
** Ability to carry out complex oral and written instructions and to communicate clearly and concisely, orally and in writing.
** Ability to establish and maintain effective working relationships with superiors, City officials, and the public. ** Considerable skills in the use of computer programs and applications used by the City.

GIS Support Specialist

This is professional, technical work involving developing and
maintaining geospatial databases and uses GIS to perform spatial
analysis, database development, extraction and manipulation.

An employee in a position allocated to this class converts data
received from internal and external sources to make usable in GIS. Work
involves addressing difficult but not complex problems, maintaining
metadata and documentation, and performing topology checks and other
data quality checks to identify and correct errors or omissions in data.
Duties in this classification are recognized as having practical
knowledge in the discipline typically obtained through advanced
education and work experience.

Work is performed independently under an
administrative superior and is reviewed through written reports,
conferences, and observation of results obtained.

Required Skills and Certifications:

  • Graduation from an accredited college or university with major work in Geographical Information Systems, Geography, Surveying/Mapping, Engineering, Computer Science or related field
  • One (1) year of experience in GIS software applications

Website Specialist

This is specialized work in the development and on-going maintenance of a
department’s web site.

An employee in a position allocated to this class is responsible for
reviewing and organizing information as well as developing web site pages
Work involves meeting with departmental representatives to plan and develop website project. The employee collects and analyzes data and advises the supervisor of trends and program impacts in order to assist in program planning and development activities.

Software Training Specialist

This is professional work planning and delivering software training
programs. An individual in a position in this class is responsible for meeting
training needs through individual and group instructions for standard Office
Automation software, as well as programs and/or systems developed by internal staff.

Preparation of course outline, training schedules, training aids and
course handouts development are required to support the function.
Work is performed under the direction of the Manager, Customer Services
and is reviewed through conferences, reports and customer feedback.

Required Skills and Certifications:

  • Bachelor’s degree in computer science, computer science education or closely related field
  • Three (3) years of experience conducting training classes in standard Office Automation software products and providing end user documentation.
